WorkZone enhancements - Creating timesheets and editing personal details from the mobile app

Even though work takes up a huge portion of our daily lives, work admin that affects payroll, can be the easiest thing employees forget to do the moment they leave work for the day. This is especially true in work environments like the hospitality or construction industry where employees are not next to a computer 24/7. 

Previously in KeyPay, employees could only create timesheets or update personal details via their Employee Portal on the computer. Thankfully, with our newest enhancements to our mobile app - WorkZone, we’ve made it easier for employees to create timesheets and update their personal details in real time all from the convenience of their mobile phone. 

This means that any employee can simply whip out the WorkZone app whenever and wherever and get their work admin sorted. Employees are empowered to manage their own data while payroll managers get their workloads reduced. Hello efficiency!

What’s new at a glance: 

  1. Creating timesheets from approved leave requests and roster shifts
  2. NZ and SG employees can now edit their personal details in WorkZone
    (*This feature was made available to AU employees in March 2021)

How does it work?

1. Creating timesheets from approved leave requests and roster shifts

Employees can currently create timesheets from approved leave requests and roster shifts in their ESS portal but now, this can be done conveniently in WorkZone. 

Approved leave and published/accepted roster shifts will automatically appear on the Timesheets screen view in WorkZone for the employee as follows:

From there, the employee has two options to create a timesheet: 

A) The employee clicks on “Add a timesheet” on a specific date where they will see the options for “New timesheet” and “Leave type” OR “New timesheet” and “Rostered shift”

By clicking on the “Leave type” OR “Rostered shift” option, the details of the timesheet will auto-populate and all the employee needs to do is review the shift details and click save. 

B) The employee clicks on the “+” option on the top right hand corner of the Timesheet screen view and clicks on “Leave type” OR “Create from X rostered shifts” 

This will display all the timesheets for the week for the employee to review and submit.

A quick recap of all the ways employees can now create timesheets via WorkZone

  1. Clocking in/out of shifts
  2. Copying timesheet entries from the previous week
  3. Creating a manual timesheet from: Approved leave and Rostered shifts

2. NZ and SG employees can now edit their personal details in WorkZone 

This WorkZone enhancement was previously made available to AU employees earlier in March 2021. And now we’re delighted to extend this enhancement to NZ and SG employees as well.

Once the business level setting on the Employee Portal Settings page is set to allow “Employees can edit their personal details”, employees are free to edit their contact and address information directly within WorkZone whenever the need arises, with the information automatically fed to KeyPay in real time.
