Managers can approve leave requests and timesheets using WorkZone
WorkZone caters for employees that are on the go and mobile, allowing employees to perform numerous tasks and employment-related activities straight from their smartphones! What about the managers? Don’t they have tasks to perform as well? Aren’t they just as mobile and on the go? Well…. WorkZone has the answer!
We have extended WorkZone’s capabilities to now cater for manager activities – starting with approving timesheets and leave requests. This means that if you (accountant/bookkeeper firm or bureau) and your clients are a full access user or a restricted user with leave or timesheet approval permissions, these functions can be directly performed from WorkZone.
Such activities would traditionally have been performed from the manager portal which requires the user logging in to the web app. Managers will now have the same convenience and flexibility as the employees they are responsible for!
Navigating WorkZone as an employee and manager
An employee who is also a manager will have access to WorkZone’s manager features from the same login (unless different emails have been used to set up accounts). The user will be able to perform any employee related activities such as submitting expense requests, clocking in/out, etc and then switch to business mode to undertake manager tasks.
When logging into WorkZone, employees who are also managers will see two types of access from the new side menu – Employees and Businesses:
Tapping on any business listed under “Businesses” will take the user to the manager functions of WorkZone.[/caption]
At the business level and dependent on the user’s permission levels, the user will see all pending leave requests. Tapping on “Timesheets” from the bottom menu allows the user to switch to Timesheet functionality.
Managing Leave Requests in WorkZone
Full access users are able to view, edit, decline, approve and cancel a leave request in WorkZone. Restricted users can only undertake the functions configured in their permission settings.
N.B. Managers cannot create Leave Requests on behalf of other employees in WorkZone. This activity is still managed via the web portal.
A manager can tap on any leave request from the summary screen to review the full details of such leave request:
As you can see from the above image, from this screen you can edit, cancel, decline or approve the leave request.
Managers can also do a quick search on historic leave requests by tapping on the search icon on the top right hand side:
Searches can be filtered by date, status, leave category, employee and/or location.
Managing Timesheets in WorkZone
Full access users are able to view, edit, reject, approve and delete timesheets in WorkZone. Restricted users can only undertake the functions configured in their permission settings.
N.B. Similarly with leave, managers cannot create timesheets on behalf of other employees in WorkZone. This activity is still managed via the web portal.
The timesheet summary screen displays a list of all submitted timesheets for the current week. You and your clients can change the display from weekly to fortnightly and go back and forward in time. Additionally, if there is a costing permission you and your clients can toggle between showing and hiding timesheet costs:
Tapping on a timesheet will take you to a more detailed version. From here, managers are able to make any changes, add notes, approve, reject or delete the timesheet:
Managers can also do a quick search on historic timesheets by tapping on the search icon on the top right hand side of the Timesheet Summary screen. Filter results by employee, location, status, employee group, pay schedule and/or work type.
Download WorkZone now!
Let’s not kid ourselves; these days if some activity can be performed via our phone, we will always choose that option. So take advantage of this great new feature by getting yourself and your clients to download WorkZone immediately:
Employees already using WorkZone will need to update to the latest version to access these new features. N.B. This is not required if the employee has enabled automatic updates.
